Operations Manager / Lead Concierge & Executive Assistant

Full-Time | On-Site | Lakewood, CO

Immerse Spa & Salon is a luxury wellness and medical aesthetics destination where exceptional service, strong coordination, and thoughtful operations matter. We are hiring a full-time Operations Manager / Lead Concierge & Executive Assistant to serve as the operational backbone of our spa.

About the Role

This role leads front-desk operations, supports client growth efforts, manages inventory and vendor coordination, coordinates hiring logistics, manages operational systems, supports event planning, and acts as an on-site executive assistant to ownership.

You will be the connector between concierge, providers, systems, and leadership—ensuring nothing falls through the cracks.

You will manage the spa concierge team only and work closely with ownership and senior providers.

What You’ll Do

  • Lead and support the spa concierge team
  • Ensure an exceptional guest experience from arrival to follow-up
  • Optimize schedules and help keep providers fully booked
  • Conduct outreach to lapsed and high-value clients
  • Coordinate local partnerships, events, pop-ups, and promotions
  • Manage inventory ordering and vendor coordination
  • Capture and route provider feedback through Microsoft Teams and tracking systems
  • Coordinate interviews, practicals, and candidate communications
  • Support ownership with administrative tasks, reporting, and follow-ups
  • Maintain operational documentation, trackers, and SOPs using Excel and Word

  • Setting pricing, payroll, or contracts
  • Running paid advertising or marketing strategy

  • Highly organized with strong coordination and follow-through
  • Comfortable working daily in Excel, Word, and Teams
  • Confident communicator who handles client, provider, and candidate interactions professionally
  • Comfortable with outreach, multitasking, and event coordination
  • Prior spa, hospitality, or medical office experience preferred
