We are seeking a highly organized, detail-oriented, and proactive Travel Coordinator/Office Administrator to oversee day-to-day office operations and provide vital administrative support across multiple locations. This role requires strong communication skills, a high level of technical proficiency, and the ability to manage competing priorities in a fast-paced environment.

Key Responsibilities
  • Provide general office support to maintain an efficient and productive work environment, coordinating with various departments as needed.
  • Arrange worldwide travel for staff, ensuring accuracy, urgency, and compliance with government requirements.
  • Serve as a Concur administrator, handling new account assignments and liaising with Concur-Omega Travel customer service.
  • Assist travelers in preparing and submitting complex expense reports for travel and other business expenses.
  • Manage the corporate purchasing card, including monthly tracking, reconciliation, and reporting.
  • Oversee office supplies and inventory, ensuring timely procurement of materials and refreshments.
  • Answer and direct incoming calls, emails, and inquiries to the appropriate staff.
  • Schedule and coordinate meetings, conference room reservations, appointments, and site visits.
  • Support executive and VIP visits, coordinating with local management and Security.
  • Assist with transaction documents, including invoices and accounts payable (A/P) processes.
  • Coordinate office maintenance, repairs, cleanliness, and vendor relationships.
  • Arrange accommodations and support for visitors, ensuring a professional and welcoming environment.
  • Collaborate with HR and administrative teams on site events and activities, serving on the Corporate Events Committee.
Qualifications
  • High school diploma or equivalent required; associate or bachelor's degree in business administration or related field strongly preferred.
  • Prior travel coordination and advisory experience, including international travel, is required. Experience in a travel agency or government contracting environment is highly desirable.
  • Demonstrated experience processing high-volume expense reports.
  • Proven background as an office administrator, travel coordinator, or similar administrative role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and comfort with standard office equipment.
  • Familiarity with travel software, preferably Concur. Experience with Concur is not required, but candidates must show an ability to quickly learn and manage comparable systems.
  • Strong organizational skills, accuracy, and attention to detail.
  • Excellent verbal and written communication skills, with a collaborative and supportive approach to assisting others.
  • Ability to work independently while contributing effectively to team objectives.
  • Skilled in managing priorities, meeting deadlines, and handling multiple tasks simultaneously.
  • Ability to lift up to 20 lbs preferred (reasonable accommodations will be provided).
  • Active SECRET clearance required with the ability to obtain a TS/SCI.
