JOB PURPOSE

To, primarily, schedule patients for procedures. Responsible for acting as liaison between the physicians’ offices and the Center, patients and the Center. Also assists the front office area with whatever areas may need assistance. Including monitoring the waiting area, keeping it orderly, handling incoming phone calls, and registering patients.

RESPONSIBILITIES AND DUTIES

  • Welcomes patients, family members, salespeople, and other visitors to the center and directs them to the proper person or location in the facility.

  • Receives all calls regarding the scheduling or procedures, requesting assistance when appropriate

  • Assists in registration of patients in a timely manner.

  • Assists with patient insurance verification when requested and time allows.

  • Actively supports the Quality Improvement process.

  • Perceives customer relations to be a part of one’s role.

  • Uses proper phone etiquette and greets other center employees, physicians, vendors, and others in a courteous and friendly manner.

  • Responds to concerns/requests of supervisor and/or other center employees and physicians.

  • Utilizes proper channels of communication to express and resolve concerns

  • Demonstrates respect for authority.

  • Refrains from discussing work problems with other staff or customers who are not involved.

  • Projects professional image as a representative of the Center.

  • Works cooperatively with others within the Center.

  • Communicates well with others both within and outside the Center.

  • Maintains a positive attitude when faced with challenges and/or special projects.

  • Readily assists co-workers as needed/requested.

  • Completes assignments professionally and in a timely manner; utilizes time efficiently.

  • Seeks clarification of duties and assignments when necessary.

  • Participates in staff meetings and is current on policy and procedure changes.

  • Is aware of the Center’s Medical Record function

  • Maintains the confidentiality of the patient’s information

  • Responsible for the proper identification of the patient when the schedule is printed for distribution (especially spelling)

  • Regular and consistent attendance is an essential function of this role.

  • Other duties as assigned.

REQUIREMENTS AND QUALIFICATIONS

  • Bilingual in Spanish Required

  • High school diploma

  • Experience in medical office or surgery center administration.

  • Knowledge of medical terminology and medical office/outpatient surgery center policies & procedures.

  • Knowledge of health and safety regulations and procedures to ensure a safe and compliant work environment.

  • Strong comprehension of HIPAA.

  • Ability to maintain confidentiality and handle sensitive information with discretion.

  • Proficiency in using office productivity software such as Google Suite, Microsoft Office Suite, etc.

  • Strong problem-solving and decision-making abilities to address issues and make informed judgements.

  • Exceptional oral and written communication skills with internal and external partners.

  • Demonstrates professional leadership skills through effective communication, work habits, attitude, inter-personal skills, initiative, and follow through.

  • Manage projects independently or through a team.

  • Demonstrates ability to work effectively under pressure with multiple and changing priorities and deadlines as evidenced by use of tact, maturity, interpersonal effectiveness, good judgement, and discretion.

  • Internal and external customer service orientation.

  • Strong attention to detail.

  • Demonstrates organization and time management skills.

WORK ENVIRONMENT/PHYSICAL DEMANDS

  • Prolonged periods of sitting at a desk and working on a computer.

  • Must be physically able to sit, climb, balance, bend, stoop, kneel, crouch and crawl occasionally.

  • Must be able to lift and push/pull up to 50 pounds occasionally.

  • Frequently required to talk and hear.

  • Vision abilities required include depth, perceptions, and ability to adjust focus throughout the day.
