ECOLE BILINGUE DE LA NOUVELLE-ORLÉANS, founded in 1998, welcome over 400 students from 18 months to 8th grade. The school is accredited by the Agence pour l’Enseignement Français à l’Etranger (AEFE) and belongs to the Mission Laïque Française (MLF), the National Association of Independent Schools (NAIS) networks of schools, and is in the process of becoming a member of the Independent School Association of the Southwest (ISAS).
Overview: We are seeking a highly motivated, detail-oriented Events Manager to support the school’s fundraising, communications, and community engagement efforts. This position oversees all aspects of event production—from concept to follow-up—ensuring that each gathering reflects the school’s values, strengthens relationships, and communicates our brand effectively. This position reports to the Director of Advancement and works closely with the communications and admissions teams. The ideal candidate is organized, proactive, and possesses a blend of technical, creative, and interpersonal skills.
Responsibilities:
Fundraising & Donor SupportAssist with the execution of all fundraising campaigns and associated special events.
Support advancement events by creating comprehensive run-of-show documents, attracting volunteers, managing vendor relationships, and other tasks associated with event planning.
Prepare donor acknowledgment letters, mailing lists, and reports.
Manage and maintain accurate donor records in Veracross, ensuring timely updates and data integrity.
Support donor stewardship activities and event follow-up communications.
Collaborate on the creation of promotional materials for fundraising campaigns and events.
Design visually compelling graphics for invitations, social media, and other media needs.
Contribute to fundraising email campaigns.
Capture and organize photos and videos for marketing and fundraising use.
Lead the planning, logistics, and execution of school events, including but not limited to: fundraising galas such as Soirée, Fête Française, donor stewardship events, open houses, prospective family receptions, and community celebrations.
Develop and manage event budgets, ensuring cost-effectiveness.
Coordinate with vendors, caterers, entertainers, rental companies, and volunteers.
Manage event timelines and ensure all milestones are met.
Oversee day-of event operations, including set-up, run-of-show, troubleshooting, and breakdown.
Provide logistical and administrative support for all advancement and community events, including parent socials, donor receptions, open houses, and the annual gala.
Assist with volunteer coordination, RSVPs, registration, and event set-up and breakdown.
Support communications related to fundraising events, including outreach emails, signage, and printed materials.
Perform accurate data entry and database management in Veracross and other systems.
Track campaign performance, event attendance, and communication metrics.
Generate advancement reports and assist with donor prospect research.
Experience/Skills Required

Three or more years of relevant work experience in the following:

Skills and Attributes
Project Management: Ability to manage multiple events and timelines simultaneously with strong organizational and prioritization skills.
Communication: Impeccable written (writing sample will be requested) and verbal communication skills; ability to engage diverse audiences with warmth and professionalism.
Collaboration: Team-oriented with a proven track record of working cross-departmentally.
Creativity & Problem-Solving: Ability to create memorable experiences and troubleshoot effectively under pressure.
Budget Management: Competence in creating, tracking, and reconciling event budgets.
Tech Savvy: Proficiency with Google Workspace, graphic design software (e.g. Canva), event management software (e.g. One Cause), and CRM databases (e.g. Veracross).
Attention to Detail: Meticulous in event logistics, data entry, and follow-up.
Ability to represent Ecole Bilingue in a positive and professional manner at all times, including school-related and public meetings and functions
Preferred Skills
Experience working in a school environment or with parent/volunteer groups.
Graphic design skills or familiarity with tools like Canva, Adobe InDesign, or Photoshop.
Knowledge of social media platforms and digital marketing for event promotion.
Work Environment & Physical Requirements
Flexibility to work evenings and weekends for events.
Ability to lift and move up to 25 pounds for event set-up.
Comfort with working both in an office setting and outdoors during events.
